Understand vector and raster files
A vector describes shapes mathematically and can be resized for different outputs. A raster image is made of pixels and has a fixed resolution. Adobe explains why vector files are commonly used for logos that must appear at very different sizes.
An extension alone does not mean what is inside a file. A PDF, for example, can contain raster content. Ask the designer or production supplier to confirm the artwork is suitable for the intended use.
Request the actual applications you need
List website headers, social profiles, invoices, presentations, clothing, packaging and signs as relevant. Ask which versions and dimensions will be supplied. Include a transparent-background export where needed and make sure small text remains readable.
Different production methods impose different requirements. An embroidery supplier may need simplified details or a production-specific file; printing may need colour and bleed specifications. Confirm those with the supplier.
Ask for a short usage guide
A useful guide can define colour values, clear space, minimum size and approved backgrounds. It can also show how to place a tagline or supporting text. Agree the depth of guidance required for your team.
Store the guide with the approved artwork so that staff and suppliers use the same version. Keep previous files clearly labelled when a brand refresh is released.
Clarify editing rights and licensed assets
The agreement should state which editable source files are delivered and the terms of use. Fonts, stock graphics and other third-party components can carry their own licences. Ownership and permission questions should be resolved before the design is deployed widely.
A completed design does not itself provide trademark registration or legal clearance. Obtain appropriate advice for those requirements.
Prepare a clean handover folder
Group approved master files, web exports, print versions and usage guidance in named folders. Include the business name and version date in the handover record. Keep an accessible backup under business control.
